Meet With Approval: RSVP And Event List

September 15th, 2008

Meet With Approval LogoThere is always a lot that goes into an event or a party, from cups to name cards, so why make managing your RSVP list more challenging than it needs to be? That’s the thought behind Meet With Approval, the invite and RSVP application that keeps it all to one page.

Whether you receive or send invites with Meet With Approval it never relies on complicated graphics or makes you join an account. It’s all email based. Let’s walk through it. If we’re organizing an event, we submit our email (privacy protected), select a security question, and Meet With Approval opens their dashboard page. On the right hand side, under “My Meetings,” is a link to create a meeting. A form opens up, letting you fill in name, details and date(s), and then add a comment. On the same page you can enter as many emails as you like, or import a list from Outlook, Plaxo, Gmail, Yahoo, AOL, Palm, or vCard. When you’re done, create the event. If you would like to brand the invite, there is an option to upload a logo (which will apply to all meetings you create with this account) under Settings. That’s all there is to it.

If you are receiving an invite from Meet With Approval the process is also streamlined. Click on the link in the event email, sign in, provide a response for a security question of your choice and click whether you can attend or not. There is also a place to add a comment at the bottom, but other than that the process is very simple. Same is true for the reminder email, which the organizer can send to all invitees who have not responded. Events that have been saved are exportable to Outlook (ics file), and all events are easily located in the sidebar that shows a quick list of My Meetings, Invitations, Confirmed Meetings, and Meetings I’m Missing. Meet With Approval also allows users to divide events into multiple parts, so that if you have, for example, several parts of a talk, guests can select which parts they can attend.  Invitees can set their communication preferences for the event, including notifications if someone RSVPs or leaves a comment.  Both of these are enabled by default.

The drawback to Meet With Approval is that it is so simple that it leaves you wanting. If you are managing an event list, the only responses available are yes and no. There are no maybe’s, no way to customize the invites, attach files, or edit the event once it has been saved. The invitee list is open to anyone invited, as are the comments. Users wanting to manage large events may dislike that there is no way of allowing guests to invite others, and email reminders are not automatically sent. There is also some confusion about the fields: the postal code field you are asked to fill out is never shown, and the “Meeting Details” shows up as “Location” when saved.

Still, Meet With Approval is a easy to use application, and its streamlined function allows it to work well with mobile devices with data plans. Users of the iPhone will like the streamlined interface that autodetects the mobile browser. The free account allows you to make 3 events. The upgrade, for $30 annually, lets you create an unlimited number of events. To find Meet With Approval, or applications like it, there is the Listio search events+manage.
