Nexonia: Expense Tracking For Businesses

January 8th, 2009

Nexonia Logo This is the fourth review in our series of expense applications. For an introduction to this category, including a rundown of features common to all four applications reviewed this week, please see: Expense Applications: Managing Finances With Web 2.0.

When it comes to tracking business expenses, an application needs to have more than the ability to enter and report on expenses, it needs to have auditing, status, and approvals worked in. Nexonia does this and more by offering functions outside of expense reporting.

Nexonia’s business perspective can be seen from its tabs, which add Approvals and Customers to the expense process. It should be mentioned that users beginning with Nexonia will be asked if they would like to add in additional functionality - from Timesheets and Budgeting to Purchasing - during the setup process. Function and use varies with pricing. All plans in Nexonia are pay plans, and although there is a trial period, users are expected to pay for their features.

Users will also see that there are additional features under each tab. Under the Expenses tab users can assign a label to each expense to indicate reimbursement and status (submitted, approved, rejected). Filters, by date and status, can be used to sort the expenses listed, and a list can be generated from the tab to a downloadable PDF. When payment has been received users can mark it as paid and add a note.

Nexonia Customers

With the Customers tab users are able to list internal or external customer lists, which they can then assign to an expense (under Expenses) for billing. Expenses can also be assigned to a project under the Customers tab. Under the Approvals tab users can see which expense reports have been submitted, and which are approved. The Reporting tab lets users export and run reports, by subject, date, and status.

Nexonia Report

The downside to Nexonia is that options under the reporting tab could be more clear - users could be confused about the layout and the referral of reports as a “library”. Nexonia is also on a subscription model, with expense report functionality starting at $10 a month with each feature costing an additional monthly fee. Discounts are available with additional users. That said, business users will like the integration of functions in Nexonia; expense reports can be generated (and split) for audits and reporting.
